Our client is in search of an experienced Records Officer for a 9 month contract role with a possibility to extend up to 12 months. The role is based in Brisbane, QLD for a Government Agency.

As Records Officer, you will manage our clients Electronic Content Management (ECM) system and contribute to the information management activities.

The ideal applicant will be someone who can demonstrate the following:

  • Proven knowledge of (or the ability to acquire knowledge of) relevant software applications including but not limited to HPE Content Manager.
  • Well-developed communication skills encompassing problem solving, organizational and interpersonal skills with the ability to liaise with staff and stakeholders at all levels.
  • Knowledge of record management practices, policies and procedures and relevant legislation.
  • Ability to identify opportunities for improvement and resolve problems using an innovative approach.
  • Ability to work as an integral member of a team and autonomously to achieve goals.


Duties and Responsibilities:

  • Supervise our clients ECM system and business records including registration, closure, storage, retrieval, archiving, destruction and linkage with Connext, ensure compliance of our clients record keeping system and practices with regulatory and accountability requirements, Record Keeping Governance Policy, Public records Act, QLD State Archives obligations and relevant Information Standards and our clients Policies and Procedures.
  • In charge for the creation of folders in CM for Worker, Employers and Governance Records.
  • Promote recordkeeping awareness and compliance to staff, and the delivery of annual mandatory training to all staff.
  • Conduct, oversee and provide specific training to super-users and communicate updates and information with the users to relay to their sections of the business.
  • Manage our clients ECM system including coordinating document control processes - policies and procedures, system review and documentation to ensure compliance with current legislation.
  • Identify trends and common problem areas that need to be addressed by proactively auditing, monitoring, and reporting on policy and procedure issues.
  • Update written procedures to meet current and emerging requirements.
  • Review ECM user requests and analyze trends to make recommendations for business process improvement and user training.
  • Provide technical support for ECM access, permissions and first level maintenance support.
  • Prepare regular operational performance reports to senior leadership.
  • Manage our client’s procurement function and provide advice and guidance on procurement administration process and guidelines to staff.
  • Manage our clients’ contract register along with the responsibility of publishing contracts on the Open Data Portal.
  • Manage our clients’ mail service with provider.
  • Provide high quality advice and support on a range of project initiatives.
  • Work effectively in a team environment, meet deadlines and organize work priorities.
  • Contribute to the development and commitment to ethical behavior and our clients’ corporate values.
  • Report to the Manager Information Technology & Innovation.
